Teams: Sharing Folders with Other People
A team is a shared area inside your account. You create it, invite people to it, and from then on everyone in the team sees the folders and groups that belong to it, in their own account, in the area they belong to. A club committee that keeps the same twenty links, a family with one shared address book, two people working on the same list: that is what teams are for.
How a shared folder appears
The left panel of every area is divided into sections. The top one is Private and holds what belongs to you alone. Below it, each team you belong to gets a section of its own, under the team name. Whatever you put into a team section is visible to the members of that team; whatever stays above it is not. Moving something into a team is done by dragging it there, the same way you would move a folder anywhere else.
This works for bookmark folders, list trees, contact groups, note groups, document groups and feed groups alike. A team is not a separate module, it is a second place to file things.
Creating a team and inviting people
Teams are managed in their own area. The plus in the header of the team panel creates one, with a name and an icon; the pencil renames it, and the wastebasket deletes it once it has no members left. Teams keep the order you drag them into, and your own teams always stand above the ones you are only a member of.
With a team selected, the plus above the member list adds someone. You enter a name or an email address, or pick a person from another of your teams, and choose the role they are to have. Registered users who have not switched invitations off are notified; once they accept, they are full members and the shared folders appear in their account. Until then the invitation is pending.
The four roles
- Creator - the person who made the team. All rights, and there is exactly one.
- Admin - may add, edit and delete every entry in the team, like the creator.
- Editor - may add entries, and edit and delete the ones they added themselves.
- Member - may look, and nothing else.
The role is set when someone is invited and can be changed afterwards: select exactly one member, click the pencil above the member list, choose the new role and save. To remove people, select one or more and use the wastebasket. Members are selected the way rows are selected everywhere in Bookmax, by clicking into a free part of the row rather than onto the text.
Invitations you do not want
Nobody can put data into your account without your consent. An invitation has to be accepted before anything of the team shows up, and if you would rather not be asked at all, the general settings have a switch that turns invitations off for good. See the settings page.
